At Bartram Trail Veterinary Hospital, we understand that sometimes you need to cancel or reschedule your appointment. Please be aware when you do not call-in advance to cancel your appointment you may be preventing another pet from getting much needed treatment. We have avoided having a late cancellation/missed appointment fee for as long as we could.

Starting November 1st, we will be instituting a $20.00 late cancellation/missed appointment fee.

Late Arrival Policy: We make every effort to be on time for all our appointments. Unfortunately, when even one patient arrives late, it can throw off the entire schedule for that day. In addition, rushing or “squeezing in” an appointment shortchanges the patients and can contribute to decreased quality of care. Therefore, a client that arrives 15 minutes or more late to their scheduled appointment will be marked as missed and we will apply the $20.00 late arrival charge to your account. We will offer to re-schedule with the late fee applied.

Cancellation/Appointment No Show Policy: In order to be respectful of the medical needs of other patients, please be courteous and call our office promptly if you are unable to show up for an appointment. If it is necessary to cancel your scheduled appointment, we ask that you call at least 24 hours in advance. Appointments are in high demand, and your early cancellation will allow another patient access to timely veterinary care. If it is after hours, please leave a cancellation message. If an appointment is cancelled less than 24 hours prior to your scheduled appointment OR if you “no show” (do not come in for your appointment), a failure to be present at the time of a scheduled appointment will be recorded in the patient’s chart and a $20.00 cancellation charge will automatically be applied to your account.

Reminders for appointments are sent through our PetDesk app and the team will call those clients with no email address in our system. Please open and check appointment reminders emailed to you and confirm the date and time sent. Please listen to phone messages from the hospital and if an appointment time or date is incorrect, please let us know as early as possible.
